Job Description

 

  • Set up appointment calendars for national and international trade shows and responsible for the registration of those attending.

 

  • Source promotional material for trade shows, events and clients.

 

  • Register the company for the various trade shows and coordinate in the stand design / build.

 

  • Prepare various power point presentations for management’s international visits to clients.

 

  • Source and establish sustainable relationships with suppliers like printers, designers, photographers etc. And negotiate favourable rates with these suppliers in close consultation with the C.E.O

 

  • In close consultation with the C.E.O, prepare a list of marketing activities for the year as well as the book for the company to attend in good time.

 

  • Responsible for the communication and implementation of branding.

 

  • Coordinate company clothing for trade shows, and staff-design and outlook to maintain the brand and image of the company.

 

  • Responsible for design and layout of company branded stationery such as letterheads, file folders, flyers, questionnaires etc.

 

  • In conjunction with E-commerce, department prepare marketing material, e.g. brochures, flyers, catalogues, newsletters, excursion brochures, etc.

 

  • Negotiate advertising space in the printed material

 

  • Keep the staff updated with changes in the corporate identity.

 

  • Maintain an updated library of company CDs and photo library.

 

 

Qualifications and Experience

 

  • University degree/Diploma in tour Operations

 

  • Experience in handling inbound clients

 

  • Minimum 5 years’ experience in the similar capacity.

 

  • Mature, strong personality, creativity and ability to work with demanding markets and under pressure.

 

  • Ability to create strong working relationships with internal and external clients and suppliers

 

  • The process is driven by the ability to meet deadlines

 

  • Attention to detail

 

  • Knowledge and experience of Tour Plan System or GRANIT is a pre-requisite.

Job Description

 

These include but are not limited to:

 

  • Coordinate with sales and reservation team for all room bookings and assist to resolve all issues related to reservations.

 

  • Assist meeting planner to analyse all room requirements and collaborate with sales and marketing team to ensure compliance to all revenue management guidelines.

 

  • Yield management – Oversee reservation administration and provide updates to reservation systems and process all requests and manage inventory of all processes and recommend ways to maximize revenue.

 

  • Manage block bookings- prepare, track, increase or reduce allotments to various agents based on demand

 

  • Tracks future room availabilities on the basis of reservations

 

  • Produce up to date information on room availability anytime it is required.

 

  • Provide daily room revenue and occupancy status.

 

  • Communicate reservation information to the sales teams on the real-time basis

 

  • Processes cancellations and modifications on a real-time basis and promptly relays this information to the sales team

 

  • Makes sure that files are kept up to date.

 

  • Identify areas of interest in order to target more clients in particular seasons.

 

  • Know the selling status, rates, and benefits of all packages plans and promptly communicate stop sale and open sales if any of the sales team as well as update the system.

 

  • Know the credit policy of the hotel and how to code each reservation.

 

  • Create and maintain reservation records by date of arrival and alphabetical listing and agent wise.

 

Preferred Qualifications and Experience

 

  • University Degree/Diploma preferably in Tourism related courses

 

  • At least 5 years’ work experience in a similar position

 

  • Knowledge and experience of Tour Plan System or similar system is a pre-requisite

 

  • Experience in working with destination management companies/tour firms is a must

 

  • Proficiency in MS Office Products

 

  • Excellent leadership and interpersonal skills

 

  • Excellent written and verbal communication skills

 

  • Good decision making and problem-solving skills

 

  • Self -directed individual and works with minimal supervision

 

  • Sound ability to prioritize work and workloads

Responsibilities:

 

These include but are not limited to:

 

  • Receive and quote profitable tour products with an aim of increasing sales

 

  • Design successful, creative itineraries and proposals for all market related ADHOC groups, Tour Series and FIT requests.

 

  • Correctly insert and confirm bookings in the booking system.

 

  • Send out confirmed bookings to hotels and resorts

 

  • Book transport services

 

  • Negotiate with suppliers for better rates, cancellation policies and FOC’s.

 

  • Follow up on quotes that have been sent out.

 

  • Successfully run groups/tour series / FIT booking.

 

  • Compile welcome packs itineraries.

 

  • Prepare guide documentation and brief guide before travel date
